Prepare the source

Gather a recording you have permission to use, the project name and an attendee list. Confirm your team permits uploading the recording before opening Fireflies.ai.

Its official page describes recording uploads, transcripts, summaries and action items. Check the access available on your plan. Your target is a reviewed follow-up note, not an unchecked transcript.

Work through the meeting

  1. Upload the approved recording. Use Fireflies to prepare the transcript and summary. Keep the attendee list nearby for checking names.
  2. Read before rearranging. Check the important passages against the recording. Correct names and misheard decisions.
  3. Separate decisions from discussion. Write down what the team agreed. Move suggestions that were not agreed into Questions.
  4. Build an action list. Record the task, proposed owner and deadline. Mark an owner or date as unconfirmed when the meeting did not settle it.
  5. Ask the team to confirm. Have each owner check their action and deadline. Share the reviewed note through your usual channel.

A suggested action becomes a commitment only when the relevant person confirms it. If the recording is unclear, keep the point open and ask the team. Do not quietly turn a discussion into an agreement.
